  • Enhancements:
    • Expanded the Notes field on patient details screen’s new layout so that users can see at least 10 lines of notes with no scrolling. The new layout can be turned on via on this global option “New patient details screen’s responsive layout”

    • Updated July 2018’s immunisation schedule
    • Payment allocation screen now allows users to easily search for an invoice when there are multiple invoices under one account payer. Users are also able to do multiple searches and payment allocations without having to close the payment allocation screen and re-open it
    • Enhanced security by removing the ability for non-admin users to grant other users access to the User Account Management module
  • Bug fixes:
    • An invoice can now be sent to two or more email addresses at once
    • Handled the change from one patient to another on an appointment so that the former patient receives a notification of his/her appointment being cancelled from HotHealth

Release Note for Version 1.5.8:

  • Enhancements:
    • All the providers will be deselected when unticking the check-box “Show all providers” on Booking screen
    • A filter is added on Appointment Scheduling and Booking screen, so that user can enter keyword to search relevant providers easier
    • The key combination “Ctrl + A” will allow user to select all the listing record on Invoices screen
    • User can search an invoice by entering its number when allocating a payment
    • “User Account Management” permissions are now available for all users, not only Admin account as like before
    • User can extract IMC or OVS services into Excel file to claim them manually to Private Health Insurer

  • Enhancements:
    • Reduced time to response of PCP from 20 seconds to less than 2 seconds for practices which have over 20 workstations
    • Patient Per Hour is improved so that user can review the data before exporting the report into files
    • The newly created request or referral will be put on the top of the table, so that user can easily point to the newest one
    • Now user can search data in screens Invoice, Patient and Waiting Room by Fund ID
    • A new option is added so that a new patient record from HotHealth will be created on PCP or not

    • Sending SMS won’t ask user for selecting a receiver again if they were specified before

Release Note for Version 1.5.6:

  • Enhancements:
    • Disabled the function to copy multiple appointments from one period to another to prevent misuse
    • Displayed patient’s default payer and account type on Waiting Room and Appointment Book
    • Retained cursor at current position instead of scrolling up when a referring doctor is selected for a new referral

Release Note for Version 1.5.5:

  • Enhancements:
    • Users can now extract patients by their default payer and/or default account type. The new search criteria are located in the Search Patient screen

    • Fix the error Quick invoice doesn’t generate when a new invoice is made in Waiting Room screen

Release Note for Version 1.5.4:

  • New Feature:
    • GST Report is now available in Earnings by Payment screen, enabling practices to quickly work out GST for their activity statement
    • Cash refund can now be issued against fully paid invoices
  • Enhancements:
    • Sales amounts of unpaid and partly paid services can now be edited so that payments can be fully allocated to services that were originally undercharged. To ensure integrity of online claiming data, users can only make changes on invoices that haven’t been submitted or those whose Medicare claims have been finalised
    • Added ability to adjust label printing margins. Label sizes are now displayed in metric instead of US measurement system
  • Bug fixes:
    • Corrected GST on List items report so they add up to the total GST amount on Earnings by payment screen

Release Note for Version 1.5.3:

  • New Feature:
    • Added cumulative earnings report, enabling users to see earnings and new/existing patients ratio of this day, this week, this month and this financial year in one place
    • Added ability to split one invoice into multiple invoices. This feature is only available for invoices that include at least one unpaid item
    • Zero dollar invoices can be created under No Charge account type, allowing practices to record free samples and no-pay after-care services
  • Enhancements:
    • Discounts are now excluded from Earning by Payments/Charges graphs
    • Users can now extract patients who have had service(s) under one or more item groups. The new search criteria is located at the bottom of the Search Patient screen
    • Email address is now displayed in full on patient details screen
    • Warnings and notes can now be exported together with patient details to Excel
    • Users can now press Space to return to today on Appointment Book

    • Private Patient invoices can now be edited after associated receipts are archived
    • Online Claiming button on Invoices screen is available again for fully paid private patient invoices

Release Note for Version 1.5.2:

  • New Feature:
    • Enabled Online Appointment Booking via FHIR integration with HotHealth. The feature allows practices to offer their patients the ability to book appointments online from any mobile devices/computers. This is a great way to increase appointment volumes, improve patient satisfaction and reduce administrative requirements

Release Note for Version 1.5.1:

  • New Feature:
    • Added a new feature Historical Fees under Item Management to allow users to view an item’s fees at a specified period
    • Added ability to report new patients based on User-Defined Fields
  • Enhancements:
    • Services are now populated with fees based on time of service, enabling users to update new fees in advance to avoid the last minute rush. This also helps users to raise invoices for past services quickly.
    • Now users can search for patients using a combination of up to 3 User-Defined Fields (UDFs)

Release Note for Version 1.5.0:

  • Enhancements:
    • Updated latest Australian postcodes
    • Showed unallocated amount for each receipt on Daily Banking screen to help users identify floating credits easily and take actions. A new search criterion is also added to allow users to query just those receipts
    • Enhanced security for PrimaryClinic hosted on the cloud by showing hyperlinks for users to copy to their local web browser instead of opening the server’s default web browser
  • Bug fixes:
    • Fixed an error in the process of getting IMC payment reports
    • Fixed an error that all information except date of injury of TAC or WC claim is disappeared at Patient Details screen

Release Note for Version 1.4.9:

  • New Feature:
    • Added the new option to disable drag and drop of appointments under Setup → Global Options → Appointment Book
    • Added the new option to print fully service’s description under Setup → Global Options → General
    • Added the feature to allow users to customise Invoice and Receipt Layout under “Setup → Organisation Setting
  • Enhancements:
    • Added email address to patient list so that it can be exported to Excel together with other demographic details
    • Now users can search transaction items by one or more customised item groups
    • Warning of duplicate invoices is now based on issue date instead of created date
    • Earnings by payment for servicing providers under the same payee provider is reported separately by each servicing provider
    • Loaded default fee schedule based on service type so that specialist invoices automatically get specialist fee rates
    • Renamed the “Multiple Procedure Override” indicator to “Not Multiple Procedure” to avoid misunderstanding
    • Rebate estimation for each service is now calculated based on relevant fees (as opposed to being fixed to BBGP)
    • Payment type, notes, service description and due date of paid invoices can now be changed via More/Edit on Invoice details screen, enabling users to quickly make changes that do not affect the dollar amounts
  • Bug fixes:
    • Removed duplicate items on invoice and receipt printouts
    • Archived bank accounts are no longer printed on invoices
    • Corrected the patient leaving process so that the right invoice is displayed for review/completion
    • Fixed the error that happens during the loading of overdue invoices when there are more than 200 invoices to be displayed
    • Corrected spelling mistakes in overdue account messages. The caption “Page X of N” at the bottom left corner of each invoice on Preview All screens is also removed
    • Services with 100% discount are no longer listed as owing in overdue accounts
    • Receipts for prepayment and refund can now be printed/previewed
    • Fixed an issue where some appointment columns disappear when users switch between dates

Release Note for Version 1.4.8:

  • New Feature:
    • Enabled users to select custom service texts from drop down list. Authorised users can set up these custom service texts under Setup/General Settings/Service Texts
  • Enhancements:
    • Reduced software startup time by up to 75%
  • Bug fixes:
    • Fixed an error message preventing users from saving changes on appointment schedule

Release Note for Version 1.4.7:

  • New Feature:
    • The software now requires a valid licence key which users will be asked to enter when they login. Subsequently, new licence key can be entered under Help/Enter Licence Key
  • Enhancements:
    • Applied latest style guide for Lifecard, ReferralNet and GlobalHealth
    • Each login user now has the option to save their own Provider List so they can see the same list on Appointment Book even when they work on a different computer. Users just need to make change to the Provider list and close the Appointment Book to have their own list saved
    • New Claim function is now able to pick up unpaid invoices associated with pas finalised claims
  • Bug fixes:
    • Description of derived items is now always displayed on Invoice details screen
    • Items on invoices are now retained in the order they were entered

Release Note for Version 1.4.6:

  • Enhancements:
    • Online Patient Verification (OPV) and Enterprise Patient Verification (EPV) functions are now available on most commonly used screens such as Invoices, Appointment Book, and Waiting Room
    • Discounts are no longer included in Doctor Fee reports
    • Enhanced Tab order to cover missing fields such as Preferred, Middle Name, Maiden Name, Interpreter Required, Accuracy (Patient details screen), schedule fee (Invoice details screen)
    • Reduced time to load an account payer’s outstanding items by 75% when there are over 1,000 items on payment allocation screen
    • Information on original receipts such as payment date and payment type is now retained when the paid invoice is adjusted
  • Bug fixes:
    • Suggested lengths for appointments being created in an alternative schedule are now corrected so they are always multiples of the schedule’s duration
    • Service items generated from billing instruction now have their fees populated based on default schedule of the invoice’s account type

Release Note for Version 1.4.5:

  • Enhancements:
    • Rotarix vaccine replaces RotaTeq vaccine on Child Immunisation Schedule.
    • Vaccines for AIR Claims are now up to date with AIR’s latest change of April 2018.
    • Payment from health insurer can be extracted separately from the payment made by patient, so user can claim tax on the eligible amount.
  • Bug fixes:
    • PCP no longer throws exceptions when patient has an apostrophe in their name.
    • Earning by Payments report for Item Group is corrected so that GST Paid amount isn’t miscalculated.

Release Note for Version 1.4.4:

  • Enhancements:
    • Switching different dates on Appointment Book now will cost you only 1 second although your business can have dozens of providers available for booking.
    • Now user can unbatch a fully rejected patient claim in order to resubmit it via Tyro.
    • Patient’s DOB and Medicare No. are removed from invoice’s and receipt’s printout to protect their personal information.
    • New criteria are added into Daily Banking function, so user can search data by selecting a specific bank transferred to or exclude payments made by Medicare and DVA.
    • Print List feature in Claim screens now can print even unbatched claims.
    • User can select multiple items and resubmit them all right at Resolve Exceptions screen in each Claim screen.
    • User can use new criteria Service Date From and To on Allocating Amounts form to easier find appropriate invoices to pay them at once.
    • If there are any printers unavailable to use, their printing settings in PCPractice will be automatically replaced by default printer.
  • Bug fixes:
    • The way PCPractice gets item codes to submit to Medicare is enhanced, so that a right MBS item code is always selected to transmit.
    • Claims were stuck because of waiting for payment report now can be resolved by using Manual Report function normally.

Release Note for Version 1.4.3:

  • New feature: Electronic TAC Claims in partnership with LanternPay. The feature allows users to immediately confirm patient eligibility, submit TAC invoices and receive payment from LanternPay the next business day. Providers can have complete confidence they’ll be paid quickly and efficiently when they treat TAC clients.
  • Enhancements:
    • Application of Multiple Operation Rule is now automatically suggested for eligible services in both Invoices and Quotes. The rule can be applied only once, and once done the rule can be undone via the same button
    • Invoices can now be exported together with insurance details to Excel
    • A new global option is provided in Miscellaneous tab to enable practices to set default payment type
    • Incentive items are now automatically generated even when invoices are first generated under Private account type before being changed to Bulk Bill or DVA
    • Added ability for GP to select both GP and Specialist MBS items on Bulk Bill invoices
    • Display family members in both family head and family member’s records
  • Bug fixes:
    • Online claims exceptions can now be removed when one service is overpaid but total claimed amount is the same as paid amount. This will enable users to remove exceptions where Medicare pay total fee of base (e.g. 306) and derived items (e.g. 288) to base item.
    • Payment date now remains as it is (instead of changing to current date) after payment is re-allocated to an adjusted invoice

Release Note for Version 1.4.2:

  • Enhancements:
    • Patient details, invoices, payments and transaction items can now be accessed via toolbar icons on ‘Resolve Exceptions’ and ‘View payment reports’ screens, enabling users to see past information with only 1-2 mouse clicks
    • Added Write Off, Adjust, Archive, Email and Print functions to Invoice Details screen
    • Added ability to take payment when patient is still in waiting room so post-consultation wait is minimised
    • Enhanced the manual report function for all types of online claims so that Direct Credit or Cheque payment type can be selected before payment is allocated
    • Service description on Invoice Details screen can now be edited via SHIFT F2
    • Displayed full item description in an easy-to-read format on Search MBS Item screen

Release Note for Version 1.4.0:

  • Enhancements:
    • Patient’s Medicare number is removed from TAC and WC invoice’s printouts.
    • Invoice reference is now invoice number (was patient’s file number previously).
    • Now user can send Appointment SMS reminders to landline phone numbers.
    • A new option named “Print single invoice” is placed on Overdue Accounts screen to print each invoice separately.
  • Bug fixes:
    • Fixed the error users are not allowed to book appointments on available slots of an alternative schedule.
    • Fixed the error wrong item numbers are submitted to Medicare Online when they were changed on another computer.
    • Fixed the error that code (instead of name) is stored in database when provider’s suburb is saved.

Release Note for Version 1.3.6:

  • Enhancements:
    • Provider’s location and patient’s owning amount are now displayed on Waiting Room screen.
    • The user can type letters to quickly search for providers on the drop-down provider list on New Waiting Room screen as well as other screens that employ the same list.
    • Local printer setting is now stored separately for each user to improve printing speed in the Remote Desktop environment.
    • Improved performance on Earnings by Payment’s Transaction report.
  • Bug fixes:
    • Fixed the error “Next Available” button on the toolbar doesn’t work if the next day is fully booked.
    • Fixed the error wrong default bank accounts are displayed when payment allocation is done for multiple invoices at once.
    • Fixed the error “DataMember property ‘Allocs’ cannot be found on the dataSource” when opening a receipt.

Release Note for Version 1.3.5:

  • New features:
    • Showing payments and invoices of transaction items have been provided.
    • Saving Layout feature for Transaction Items screen is also implemented.
  • Enhancements:
    • A failed private patient claim can be resubmitted at Claim Response Status screen.
    • Quick Invoice feature has been improved, so that user can set up fee rate for each quick invoice rule, set up quick invoice without payment and set up triggers for quick invoice to be generated automatically.
    • Description of user-defined services which have not been specified in MBS will be fully displayed on printouts of receipt and invoice.
    • Last entered drawer, bank and branch of Cheque payment will be saved, so that user can quickly reuse them for the next payment making.
    • Now “Multiple Operation Rule” can be applied in Quotes feature like Invoices.
    • Key combination of “Shift + F2” will show full content of service description, public note or private note of an invoice.
    • Now user can set up “No. of Patient” for default item by using a forward slash to differentiate between them.
    • “DVA No.” is added into the patient label of veterans.
    • User can also see a patient’s File No. on Appointment Book screen at the patient demographics area on the screen.
  • Bug fixes:
    • Patients are no longer forced to leave waiting room when new invoices are created for them.
    • Fixed the error double discount amount in each receipt’s printout.

Release Note for Version 1.3.4:

  • New features:
    • A new button Apply MVUSSR to implement Multiple Vascular Ultrasound Service Rule is provided on both Invoices or Quotes screen.
    • Storage folders of PC Practice and Clinical setting in Global Option are separated for each instance.
  • Enhancements:
    • A new bookmark, Claim No ,has been provided to get claim number of an invoice in SMS, Email and Letter templates.
    • Now user can quickly locate any provider by typing keywords on the filter row above the provider lists on searching panels. The filter feature will be very useful if your clinic has more than 5 doctors.
    • Letter Writing module is enhanced, for examples, capitalise the first letter, auto-correct capitalisation for such words McKinsey, MacArthur, etc.
  • Bug fixes:
    • Now user can search payment by its note in the function Daily Banking.

Release Note for Version 1.3.2:

  • New features:
    • A new feature is provided in Setup >> Appointments >> Appointment Type that allows the user to set default duration when creating a new appointment.
  • Enhancements:
    • Default account type and fee rate when creating new patient can be set by default in the Global Option.
    • The Suburbs lookup has been enhanced so that the suburb suggestion list shows more accuracy.
    • The user now can copy and paste Note(s) on the Appointment Book screen.

  • Enhancements:
    • Vaccines for AIR Claims are now up to date with AIR’s latest change of March 2017. A new vaccine, Afluria Quad (AFLR) was added.
    • Medicare number is now loaded automatically when a new family member is created.
    • It is now possible to view any family member’s details by double clicking on the family member’s record on Patient Details screen.
    • Icons on the New Toolbar are now enabled as soon as a new patient is saved, allowing new invoices to be created for patient immediately from the same screen.
    • Transaction items can now be searched by both transaction date and invoice date.
  • Bug fixes:
    • Error ‘LinkingFile_EnableMedinetAdapter was not found’ is now fixed
    • Payment for invoices with more than 10 items can now be done with no issue.

    Notification of expired referral no longer pops up when a patient is booked for a GP.
    The same notification is removed on patient details screen.

    New ReferralNet accounts can now be registered successfully from PrimaryClinic Practice.
    Addressed minor issues with daily appointments report, such as, the report cannot include empty slots or stop working when exporting appointments of a whole 24-hour working day.

  • Release Note for Version 1.2.2:
  1. Enhancements:
    Booking report now can be sorted by patient’s surname.
    Appointment Book: Provider list can be displayed fully on 1024×768 screens.
    Invoices: LSP Number is now automatically populated for items that are under MBS category 5 or group T2 when service type on Invoice is Specialist. This ensures that LSPN is properly submitted to Medicare for diagnostic imaging services.
    WC/TAC claims: A new column ‘Public Note’ is added to allow user to enter extra information (e.g. injury description) that is displayed on invoice/receipt printout.
    Private Patient invoice: ‘Not Normal After Care’ is now automatically inserted into Note if NNA is ticked for any item on an invoice. Same rule applies for ‘Not Duplicate Service’.

  • Release Note for Version 1.2.1:
  1. New features:
    It is now possible to mark any appointment type as available/not available for booking under Setup/Appointments/Appointment Type. Users will receive a warning message if they attempt to make booking on an unavailable slot. Note: this function does not work for external online booking software such as HealthEngine and 1stAvailable until those vendors make the change in their software. Currently all external online booking software see Appointment type as available for booking and Note type as unavailable.
    PrimaryClinic Practice now has a messaging ID field on all Address Book records. This field is used for secure messaging purpose and is in sync with Medinet.
  2. Enhancements:
    All provider selection list now excludes external providers(those who do not work for the clinic, they are normally imported from external sources such as patient XML from other medical software, data conversion from another practices) by default.
    Messaging network name is now displayed for both organisations and individuals on Address Book.
    Export of Patient and Referral details has been improved to separate full name into first name from surname, and address into address, suburb, state and postcode.
  3. Bug fixes:
    PrimaryClinic Practice no longer displays archived Businesses, Locations and Providers on selection lists on Appointment Book.
    The ‘Next Available’ appointment search function now correctly returns the next available slot.

  • Release Note for Version 1.2.0:
  1. New features:
    Appointment Book: user can now export appointments to Excel.
    Medicare Online Setting: Default status (ticked/unticked) for ‘Send now’ on online claiming screens can be set at Global Setting tab of Online Claim Settings form.
  2. Enhancements:
    Appointment Book: A notification will pop up for appointments that are booked at unavailable times.
    Address Book: A new column ‘Network’ is added to indicate which network (e.g. ReferralNet, NHSD…) each record belongs to. Each record’s ‘ReferralNet ID’ is also renamed to ‘Messaging ID’.
    Overdue Accounts now includes Medicare and DVA invoices.

  1. New features:
    Saving Layout for Quote screen is now available.
    Adding a new logo on the top right corner of menu bar. This logo links to PrimaryClinic Practice new website: www.primaryclinic.com.au (the website www.practice2000.com is still available until further notice).
  2. Enhancements:
    Appointment Book:
    Any changes in patient details are reflected immediately on appointment book screen.
    Appointment book shortcuts are brought back to the menu bar and can be customized by Admin users.
    Expired Referral Warning: a warning message is popped up to alert users about the expiry date of referrals. Default and last valid referrals are in higher priority to be checked. This feature applies for:
    Opening patient details.
    Booking/Editing appointments. While focusing on an appointment, users can also check the referral warning if any at the top left corner on the appointment book.
    Arriving patients into the waiting room.
    Appointment Columns Order: list of providers will include doctors whose schedules are only valid in the future.
    The first letter in addresses is capitalised and suburb is upper case according to Australia Post Addressing Standards.
    Effective Date of a MBS item is set as current date by default.

    Appointment Book:
    Fixed the error related to blocked appointments that prevent users from editing/deleting.
    The archived appointments are removed from appointment book screen of all the working users.
    Fixed the issue in difference between receipt payer and invoice payer.
    Fixed the issue PrimaryClinic Practice is closed suddenly when users close Doctor Fee form.
    Fixed the issue of incorrect result in calculating a quote.

    Appointment Report: Daily Appointment Report and Doctor Appointment Report now display data in a consistent format.
    Statement of Claim and Benefit Payment, Lodgement Advice, and IMC Patient Claim Consent and Declaration templates have been updated as Medicare benefit cheque payments to patients/claimants are stopping from 01 July 2016.
    Online claiming log is now saved to a separate log file.
    Immunisation:
    Archived immunisation records of a patient are now hidden by default.
    Immunisation screen now includes Claim Status on the Claim# column to indicate whether the record has been successfully transmitted to ACIR.
  3. Bug fixes:
    Appointment SMS/Email Reminder screen now includes patients whose “Accept SMS/Email” status is ticked(Yes) or not set, and only excludes patients whose Accept SMS/Email status is un-ticked by default so that clinics can send SMS reminders to patients who have not confirmed they don’t want to receive SMS.
    Patient Claim: benefit amount is now printed on Referred patient claims.
    Letter writing: fixed an issue with font size reverting back intermittently.
    Invoices: PrimaryClinic Practice no longer stops responding while user is searching an MBS item.
